How to write a tabular CV for a master's application in Germany

List every period from your first school to the application date in dated rows, leaving no month unexplained. uni-assist asks for exactly that, and some universities, such as Hochschule Mainz, also require the CV to be signed.1

Written 13 October 2026. CitedCV. How we write our guides

Before you write: rebuild your timeline month by month

uni-assist, which pre-checks foreign applications for many German universities, describes the CV it wants in four instructions: no omissions, current up to the date of application, list everything you have done, and start with your first school. If you were neither studying nor working for a while, it tells you to write "no special activities / no studies" for that period rather than leave it blank.

  1. Take every certificate you own and write its start and end month on one sheet: schools, university, preparatory year, courses, internships, jobs.
  2. Sort them by date and look for months that no line covers.
  3. Give each uncovered stretch its own row, with a short true label.
  4. Check the dates against the documents you will upload; the reader compares them.

Why a master's CV starts at primary school

A job CV can begin with your degree. An admission CV is read alongside your certificates to confirm your educational path, which is why uni-assist's general notes ask you to document your education from the school certificate that entitles you to university study up to your current progress, and why Hochschule Mainz asks for a chronological CV with no missing periods of time.

What makes a CV "tabular" for a university

Tabular means a left column of dates and a right column of entries, one row per period. The general layout of a German Lebenslauf, its section order and its place-and-date line are covered on the German CV format page; here are only the points a master's admission adds.

  • Dates as month and year for every row, so that the reader can see there is no gap between them.
  • Education first and in full: school, any preparatory year, every degree programme, with the final or current grade and its scale.
  • The thesis title on the degree row, because it shows your subject focus in one line.
  • Language certificates with level, test name and month, matching the certificates you upload.
  • Internships and work after the education rows, each with the month it started and ended.

Signed and dated

uni-assist wants the CV current up to the date of application, so put that date under it. Hochschule Mainz explicitly lists a signed CV among the documents for its MSc Business Administration. When a programme does not ask, a dated line still shows the reader when the timeline ends.

One CV for all applications, or one per programme

uni-assist needs each document only once even if you apply to several universities, but it lets you upload a separate CV or motivation letter for each application. If you do, put the university and the course of study visibly and in bold at the very top, so that it can be assigned to the right application.

Sample rows: a gap year and a language course

The rows below are for an invented applicant from İzmir with an industrial engineering degree, a half-year break after graduation and a German course before applying. Names in brackets are placeholders. The German version is what goes on the CV; the English column is there to explain it.

PeriodEntry on the German CVIn English
09/2005 - 06/2013İlkokul und Ortaokul (Grund- und Mittelschule), İzmirPrimary and lower secondary school
09/2013 - 06/2017Anadolu Lisesi, İzmir; Abschluss: Lise Diploması, Durchschnitt 86,40 von 100Upper secondary school and its leaving certificate
09/2017 - 06/2018Englisch-Vorbereitungsjahr (Hazırlık), [Universität], İzmirEnglish preparatory year before the degree
09/2018 - 06/2022B.Sc. Wirtschaftsingenieurwesen, [Universität], İzmir; Abschlussnote 3,21 von 4,00; Bachelorarbeit: „Lagerplanung in einem mittelständischen Textilbetrieb"Degree, grade with scale, thesis title
07/2022 - 08/2022Praktikum Produktionsplanung (8 Wochen), [Firma], ManisaInternship after the final exams
09/2022 - 12/2022Keine besondere Tätigkeit; Pflege eines FamilienangehörigenThe gap, named. uni-assist's wording without a reason would be "no special activities / no studies"
01/2023 - 06/2023Deutschkurs A2 bis B2, [Sprachschule], İzmir, 20 Unterrichtsstunden pro Woche; Abschluss: telc Deutsch B2 (06/2023)Language course with level, hours and certificate
07/2023 - heuteJunior-Produktionsplaner, [Firma], İzmirCurrent job, which ends at the application date

Why the rows are written this way

  • The gap row says what happened in four words. Give a reason only if you are comfortable with it being read; the neutral uni-assist wording is enough.
  • The language course row ends with the certificate and its month, so the reader can find the matching document in your upload.
  • The preparatory year has its own row. Leaving it out makes the degree look as if it started a year after school, which is exactly the kind of gap the reader looks for.
  • The grade keeps its Turkish scale. Converting it to the German scale is a separate step with its own page.

The Motivationsschreiben for a master's programme

The motivation letter explains why this programme, why at this university, and why you. TU Darmstadt's writing centre suggests organising it around three questions, a length that does not exceed 1.5 to 2 pages unless the programme sets its own limit, and a classic letter frame: sender, recipient, date, subject line, closing and your signature. Always follow the programme's own instructions where they differ.

  1. Wer bin ich? Who you are, what drives you, which challenges you have mastered.
  2. Was kann ich? The modules, projects, internships and stays abroad that prepare you for this programme.
  3. Was will ich? Your goals, and how this programme and this university help you reach them.

The same guide warns against justifying a study choice with good job prospects or money. Write about the work and the subject instead.

Two rules from the institutions

  • uni-assist: name your chosen university and course of study visibly and in bold at the top of the letter. Otherwise it cannot link the letter to the right university.
  • HAW Hamburg (Master Soziale Arbeit, note of 18 November 2024): AI-written letters tend to be general; if you used AI tools, rework the result and submit the prompts you used, in full and word for word.

Uploading to uni-assist: the order of work

uni-assist describes the application as fully digital: you upload every required document in your My assist account. The sequence below follows its pages, read on 12 October 2026.

  1. Register in My assist and fill in your educational history, answering every question without omissions.
  2. Choose the university and course of study.
  3. Scan official certificates (signature and stamp, or a verification code) as complete, clearly legible PDF files. Upload each certificate in full, including the transcript and the Diploma Supplement.
  4. Upload each document once and give it an unambiguous name in German or English. For Turkish certificates, add translations by a sworn translator whose stamp includes the words "yeminli tercüman".
  5. Upload the CV and the motivation letter, one shared version or one per application with the bold heading.
  6. Submit the online application early: uni-assist recommends at least 8 weeks before the deadline, and its evaluation usually takes 4 to 6 weeks.

Rules change between intakes. Check the linked uni-assist pages and the programme page before you upload.

Where this page stops

Programmes differ. Some replace the letter with questions in an online form, some cap it in words rather than pages, and some admit directly without uni-assist. This page does not cover converting a Turkish GPA into a German grade, the DAAD scholarship CV, or a CV for a job in Germany, which follows different priorities.

Next steps

  • If the programme asks for a German grade, use the page on converting Turkish grades.
  • If you are also applying for a DAAD scholarship, its CV has a three-page limit and different priorities; see the DAAD page.
  • If you are unsure whether to write the CV in English or German, follow the programme's language of instruction and the language page.
  • CitedCV can draft the tabular CV in German or English from the dates and facts you enter, using German regional conventions, so the rows match your documents.

Questions people ask

What is a tabular CV for a master's in Germany?

It is a CV laid out as rows, with dates on the left and the school, degree, course or job on the right, covering every period without gaps.

Do I have to sign my CV for a German university?

Sometimes. Hochschule Mainz requires a signed CV for its MSc Business Administration; uni-assist asks only that the CV be complete and current, so check the programme page.

How do I explain a gap year in a German CV?

Give the gap its own dated row with a short true label. uni-assist suggests "no special activities / no studies" when you were neither studying nor working.

How long is a motivation letter for a master's in Germany?

Usually one to two pages. TU Darmstadt's writing centre suggests not exceeding 1.5 to 2 pages unless the programme sets its own limit, which then applies.

Can I use the same CV for every uni-assist application?

Yes, one copy is enough if it fits all of them. To send a different version to one university, put that university and course in bold at the top.

Should I include a photo on a master's application CV?

Only if the university asks. uni-assist says some universities require a photo and that a small portrait photo is enough, not necessarily a passport photo.

Should my motivation letter name the programme?

Yes. uni-assist asks for the university and the course of study in bold at the top, otherwise it cannot link the letter to the right application.
