Thank-you email after an interview: what to send and when

Send a separate thank-you email to each interviewer within 24 hours. In three or four sentences, thank them, mention one point from the conversation, restate your interest and offer to answer questions. Prospects and Northeastern's career office give this timing.1

Before you leave the interview: collect names and one detail each

The thank-you email is decided in the last minutes of the interview, not the evening after. Penn Career Services suggests asking for the interviewers' contact details at the end if you do not have them, and, if you forget, asking the recruiter for the addresses or to forward your note. The National Careers Service (NCS) adds one more question for the end: when you will hear back.

  1. Write down each interviewer's name and job title as they said it.
  2. Get the email addresses, from the invitation or by asking the person who arranged the interview.
  3. Note one concrete thing per person: a project they described, a question they pressed on, a problem their team has.
  4. Note anything you promised to send, such as a work sample or a reference.
  5. Note the date they gave for a decision. It sets the timing of any later follow-up.

If you missed the window

Send it anyway. Penn says a note that arrives a few days late, or is less personal than you hoped, is still better than no note. Our suggestion is to skip a long apology: half a sentence acknowledging the delay is enough, and the rest of the email stays the same.

Email or a handwritten card

Northeastern calls email standard and expected, and says a handwritten note stands out in more formal fields such as law, executive roles and some finance positions. Penn adds that email lets the interviewer reply to any question you raise, while a card needs the correct postal address and time to arrive.

What fits in three or four sentences

Northeastern keeps the note to three or four sentences: an opening that thanks the reader and names the role, a body that refers to something specific from the conversation and ties it to your background, and a close that offers to answer remaining questions. Prospects, writing about emails after a second interview, asks for a professional, polite, positive tone and a message tailored to what was discussed.

What to keep out

  • A second interview. Northeastern warns against re-interviewing yourself; the email is not the place to list your strengths again.
  • Requests that create work for the reader, which Northeastern also names.
  • Questions about salary or the decision date. Our suggestion: those belong in a later, separate message.
  • A copied template. HEC Montréal asks its students not to reuse the sample on its own page, because recruiters have already seen it many times.

Subject line

Northeastern's sample subject is simply a thank-you plus the role and the word interview. A version you can adapt: 'Thank you: Junior Data Analyst interview'. If the invitation came by email, replying in that thread works too.

Panels, second rounds and agencies

One email per interviewer

Northeastern says to send individual messages when possible and not the same text to everyone. Penn says to personalise each note to the topics you covered with that person. Interviewers on a panel can compare what they received, so a pasted text is easy to spot.

After a second or final round

The same 24-hour rule applies; the Prospects page that gives it is written about second interviews. Refer to something new from this round rather than repeating the point from your first note.

Phone and video interviews

None of the sources read for this page treats them differently from interviews in person, so the timing and the length stay the same.

When an agency arranged it

Without the interviewers' addresses, Penn's suggestion applies: ask the recruiter to pass your note on. Thank the recruiter separately in one line.

Worked example: one panel interview, two different emails

The candidate and interviewers are invented. Arda Koç interviewed for a Junior Data Analyst post with Hannah Lee, who leads the data team, and Marcus Webb, the finance director. The two emails share the frame and differ in the line that proves he listened.

LineTo Hannah Lee, data team leadTo Marcus Webb, finance director
SubjectThank you: Junior Data Analyst interviewThank you: Junior Data Analyst interview
ThanksDear Hannah, thank you for your time on Tuesday.Dear Mr Webb, thank you for joining the interview on Tuesday.
Specific pointYour description of the churn report rebuild was the part I keep thinking about; I rebuilt a similar report in Power BI last year.Your question on how analysts explain numbers to budget holders was a fair test, and it is the part of the job I enjoy most.
InterestThe plan to move the team to self-serve dashboards makes the role more appealing to me.Working closely with finance, as you described, is a large part of why I applied.
CloseIf anything I said needs more detail, I am happy to send it. Best regards, Arda KoçI would be glad to answer any further questions. Kind regards, Arda Koç

Formality follows the interviewer: Hannah introduced herself by first name, Marcus Webb did not. Northeastern advises matching the formality the interviewer used.

Three days late

Dear Hannah, I meant to write sooner: thank you for Tuesday. Your plan for self-serve dashboards has stayed with me, and it is the kind of change I would like to help with. If anything needs more detail, I am glad to send it. Best regards, Arda Koç

If you hear nothing afterwards

The thank-you note is not a status request; that comes later and only once. HEC Montréal says to wait until the date the employer gave and, if it passes, to get in touch the day after; with no date there is no rule, and it gives five business days as an example. Prospects says that after the stated timeframe, or about five to ten business days, a polite follow-up email is fine. The NCS says you might follow up by email or phone unless you already know when you will hear back.

Dear Hannah, I hope the interviews have gone well. You mentioned a decision by the end of last week, so I wanted to ask whether there is any news on the Junior Data Analyst role. I am still very interested. Best regards, Arda Koç

After a rejection

The NCS says you can ask the interviewer for feedback on how it went and where you could have done better. HEC Montréal warns that most employers prefer not to give it, and that a quick reason, such as a lack of experience, may simply mean the recruiter was not convinced. A short, gracious reply keeps the contact for the next opening.

Where this page stops

  • Following up on an application before any interview: the guide to the email that carries your CV covers the two-week check.
  • Job offers: the NCS suggests asking for the offer in writing and confirming the start date and notice period before you accept, which is outside a thank-you note.
  • The employer asked candidates not to contact the panel. Then do not.
  • Medical school interviews, where Penn mentions a handwritten note for a day with many interviewers; their conventions differ from job interviews.

CitedCV does not write thank-you emails. It writes CVs from the facts you give it and, once you buy any credit pack, cover letters from the same facts. The note after an interview depends on what was said in the room, which only you know.

Questions people ask

How soon should you send a thank-you email after an interview?

Within 24 hours. Prospects and Northeastern University career office both give that window; HEC Montréal says the same day or the next.

Is it necessary to send a thank-you email after an interview?

No rule requires it, but the career services read for this page all recommend it, and Northeastern calls the email standard and expected.

What should I write in a thank-you email after an interview?

Three or four sentences: thanks and the role, one specific point from the conversation tied to your background, your interest, and an offer to answer questions. Northeastern gives this structure.

Should I send a thank-you email to each interviewer?

Yes, a separate one to each person, with different text. Northeastern advises against sending everyone the same message, and Penn suggests tailoring each note to what you discussed with that person.

Is it too late to send a thank-you email after 3 days?

No, it is still worth sending. Penn Career Services says a note a few days late is better than none; keep the apology to half a sentence.

What subject line should a thank-you email have?

A short one naming the interview, for example 'Thank you: Junior Data Analyst interview'. Northeastern's sample uses the same shape, and replying in the invitation thread also works.

Should I send a thank-you email after a phone or video interview?

Yes, with the same timing and length. None of the sources read for this page treats phone or video interviews differently.

How long should I wait to follow up after an interview?

Until the date the employer gave, then a day more. With no date, HEC Montréal gives five business days as an example, and Prospects five to ten business days.
