Executive assistant CV example: show the principal, the diary and the tools
An executive assistant CV names who you supported and at what level, then puts numbers on the diaries, trips and meetings you ran, lists the office software you use daily, and gives each working language a level.1

Name the principal before you list a single task
The first thing a hiring manager wants to know is whose work you carried: a CEO, a managing director and two directors, a partner group. The BLS describes executive assistants as giving high-level support to an office and its top executives, and notes that many support more than one manager. Put the title of each person you supported, and the size of the organisation, in the first line of every role.
- Supported: CEO and CFO of a 600-person logistics group.
- Supported: three partners in a 40-lawyer firm.
- Supported: regional director, Middle East and Africa, plus two country managers.
Leave out names of the executives themselves unless they are public figures who agreed to be referees; the title and the scope say enough.
The four areas every job profile agrees on
The National Careers Service, O*NET and the BLS describe the job in similar terms. Their task lists fall into four areas, and a strong CV has at least one measured line in each.
Diary and priorities
The National Careers Service talks about organising complex diaries and using judgement to prioritise tasks; O*NET puts managing executives’ schedules first. Give a sense of load: meetings a week, time zones, how far ahead you planned, and one example of a clash you resolved without the executive.
Travel
Both profiles list travel arrangements. Count trips a year, countries, visa applications prepared, and any travel policy or budget you kept to. Itineraries with several legs and last-minute changes are worth a line of their own.
Meetings, board packs and events
The National Careers Service names planning board meetings, company events and travel, and taking notes. Say how many board or committee meetings you organised a year, who produced the papers, and whether you took the minutes.
Information, documents and gatekeeping
Handling sensitive information in line with company policy appears in the UK profile; O*NET adds preparing reports, answering routine correspondence and deciding which visitors get access. Name the kind of material you handled (board papers, HR files, deal documents) without revealing any of it.
Sample CV section: executive assistant to a CEO (example)
Example only. The person, employers and figures are invented to show the form. Use your own scope and numbers.
- Melis Tunç, Executive Assistant. Istanbul. Email, phone, LinkedIn.
- Executive Assistant to the CEO and CFO, a logistics group with 600 staff in 4 countries, Sep 2021 to present.
- Ran two diaries across 3 time zones, about 45 meetings a week; moved the weekly leadership meeting to a fixed slot and cut reschedules from 12 to 3 a month.
- Organised 38 business trips a year to 11 countries, including visa files for the UK and Schengen states; kept travel spend inside the annual budget for 3 years.
- Coordinated 6 board meetings and 4 audit committee meetings a year: agenda, paper deadlines, room and video setup, draft minutes for the company secretary.
- Handled board papers and senior HR correspondence; set up the shared drive permissions for the executive office.
- Personal Assistant, a construction company, 2018 to 2021: diary, correspondence and visitors for the general manager; supervised one receptionist.
- Tools: Outlook, Teams, Excel, PowerPoint, SharePoint, SAP Concur, Zoom. Microsoft Office Specialist: Associate (Microsoft 365 Apps), 2022. Languages: Turkish (native), English (C1), French (B2).
Why the first job is a PA role
The National Careers Service lists moving up from a secretary or administrator role through company training and promotion as one way in. Keeping the PA years on the page shows that route, and the supervision line hints at the next step.
Office software: name the tool, not "IT literate"
The National Careers Service expects excellent IT skills and working knowledge of the main business software packages. O*NET's profile for executive assistants lists the categories: email and calendar, office suites, presentation, spreadsheet, video conferencing, document management and expense tools.
| Tool group (O*NET) | Examples O*NET names | What to write |
|---|---|---|
| Email and calendar | Microsoft Outlook, IBM Notes | Diaries managed, shared calendars, delegate access |
| Office suite | Microsoft Office, Google Workspace | Which suite your employers used |
| Spreadsheet and presentation | Excel, PowerPoint, Google Slides, Keynote | Trackers built, board decks prepared |
| Video conferencing | Zoom, Cisco Webex, Google Meet | Hybrid board meetings set up |
| Document management | Adobe Acrobat, Microsoft SharePoint | Folder structures and permissions you managed |
| Accounting and expenses | SAP Concur, QuickBooks | Expense claims processed for the executive |
Microsoft Office Specialist: the exam codes
Microsoft awards the Microsoft Office Specialist: Associate (Microsoft 365 Apps) certification for passing three exams in different programs, at least one of them a Microsoft 365 Apps exam: MO-110 Word, MO-210 Excel, MO-310 PowerPoint, or the Office 2019 exams, which include MO-400 Outlook. Write the certification name and year; add the exam codes if a posting asks for a specific application.
Languages: say where you used them
Executive assistants often act as the contact for internal and external clients, in the National Careers Service’s words. A language line should show that use: "French (B2), correspondence with the Paris office and partner visits". Give a CEFR level or exam score for each, and put your native language first.
What employers check first
The BLS says executive roles usually need several years of related experience, often as a secretary or office clerk, and that some employers prefer some college or a degree. The National Careers Service lists business administration or management degrees, the T Level in Management and Administration and the Business Administrator Level 3 apprenticeship, and says employers accept other subjects if you have the qualities they want.
| Quality named by an official profile | Source | Proof on the CV |
|---|---|---|
| Good judgement in setting priorities | BLS | A clash or crisis you resolved without escalating |
| Organisational skills | BLS | Diaries, trackers or filing systems you set up |
| Writing skills | BLS | Correspondence, minutes or reports you drafted |
| Thoroughness and attention to detail | National Careers Service | Board pack deadlines met, error-free travel files |
| Staying calm in stressful situations | National Careers Service | Last-minute itinerary changes handled |
Proof: sources read on 13 October 2026
We read each source on 13 October 2026. The BLS counts 489,300 executive secretary and executive administrative assistant jobs in 2025, a median wage of $76,590 in May 2025, and little change in employment projected from 2025 to 2035. The National Careers Service gives £28,000 for starters to £60,000 for experienced personal and executive assistants. Microsoft's certification rules come from its Microsoft Learn page, updated in August 2026.
Where this layout needs changing
- Legal or medical secretaries: put the specialist knowledge first; the National Careers Service names legal, medical and financial specialisms as a route to specialist roles.
- Office managers: facilities, suppliers and budgets lead, and the executive support becomes one line.
- Moving towards company secretary, a step the National Careers Service names: describe board work and governance, not diary work.
Applying abroad
There is no country guide for executive assistants on this site yet. The CEFR guide covers language levels, the UK CV format guide covers British conventions, and the jobs-abroad checklist covers photos and personal details. CitedCV can write the CV in English, Turkish or German from the duties and figures you enter; it does not add tools or languages you did not list.
