Uploading a resume to Indeed: what employers see and what happens after you apply
Upload one file in your Indeed profile, preview it and save; Indeed converts it to PDF. When you apply, the employer gets that file plus the details Indeed scanned from it, and the status appears under My jobs, Applied.1
Written 13 October 2026. CitedCV. How we write our guides
Start by choosing which resume Indeed will show
Indeed holds two kinds of resume, and they behave differently. One is a file you upload. The other is the Indeed Resume, which you build on the site section by section. Indeed's page on what you share with employers says that if your profile has both and employers can find you, they see only the Indeed Resume. When you apply, the employer sees the resume you used for that application.
| Uploaded file | Indeed Resume | |
|---|---|---|
| How you make it | Upload a document from your phone or computer, preview, Save resume | Fill in sections on Indeed |
| Can you edit it on Indeed | No; upload a new file instead | Yes, section by section |
| How many | One at a time; a new upload overwrites the old one | One, in a fixed layout |
| Format employers open | Converted to PDF by Indeed | Indeed's own layout; you can download it as PDF |
| Shown to employers searching profiles | Only if you have no Indeed Resume | Yes, when you are findable |
Indeed does not keep your past files, so store each tailored version on your own device. The upload rules themselves (no scans, no photos or graphics, automatic PDF conversion) are summarised in our guide to German job sites.
How applying with Indeed works
Apply with Indeed, or the company site
Some jobs show Apply with Indeed and run the whole application on Indeed. Others send you to the employer's website. The difference matters later: an application finished on the employer's site gets no confirmation email from Indeed, does not appear in My jobs, and cannot be withdrawn on Indeed.
The steps
- Click Apply with Indeed. You may be asked to verify your phone number.
- Choose your Indeed profile resume or a file. Resume options lets you upload a different file.
- Review what Indeed scanned from the file: work experience, education and qualifications. Edit, delete or add. Indeed asks for this once per uploaded file.
- Answer the employer's questions. Indeed says you must answer them before you can continue.
- Add supporting documents such as a cover letter if the employer allows them. You can also save the application as a draft.
- Click Submit your application. You get an on-screen confirmation and an email.
Why the review step matters
The employer receives the file and the scanned details side by side. If the scan put your degree under work history or dropped a date, that wrong version reaches the employer next to your correct PDF. Fix it on the review screen, because Indeed asks only once per file and an application cannot be changed after you submit it.
What the employer can see about you
- The resume you applied with, and the city and state written on it.
- Only the phone number on your resume, which can differ from the one on your Indeed account.
- An Indeed email alias that forwards to your inbox, instead of your own address.
- Possibly your qualifications. Never your search history, job alerts or saved jobs.
Employer questions, deal-breakers and the Rejected tab
The other side of the questions screen is described in Indeed's own guide for employers, last updated 29 September 2026. Employers pick pre-made questions on education, experience, language, location, commuting or relocating, and work authorization (plus security clearance and shift availability in the US), or write custom ones.
- A pre-made question can be marked as required, which Indeed calls a deal-breaker.
- An answer that fails a required question moves the application automatically to the Rejected tab.
- A failed preferred question leaves you in the pool, flagged as not meeting that preference.
- Custom questions cannot be required. Before them you see a notice that the employer wrote them, with a Report Job link.
- Employers can review rejected applicants and move them back to the active pool.
The guide does not say whether a rejected applicant is told. In My jobs, a rejection shows only if the employer sets Not selected by employer. Answer from the dates and documents on your resume: a required question answered wrongly can end the application, and one answered generously will be checked at interview.
My jobs statuses decoded
After you apply on Indeed, the application sits in My jobs under Applied. Indeed's help page on managing applied jobs names three sources of status. Read on 13 October 2026.
| Status | Set by | What Indeed says it means | What to do |
|---|---|---|---|
| Applied | Indeed | Your application was submitted | Keep the confirmation email |
| Employer reviewing applications | Indeed | The employer is reviewing applications but has not reached yours | Wait; nothing about you has been decided |
| Application viewed | Employer | The employer reviewed your application | Prepare for a call; check Indeed Messages |
| Employer reached out | Employer | The employer contacted you through Indeed | Reply through Indeed Messages |
| Not selected by employer | Employer | The employer rejected your application | Archive it and compare your answers with the posting |
| Response seems unlikely | Indeed | The employer has hired enough people, or nothing has happened on your application for at least two weeks | Move on; a follow-up may still be worth one short message |
| Job closed | Indeed | The employer closed the job or it expired | Archive it |
| Interviewing, Offer received, Hired | You or the employer | Your own progress | Update it yourself so your list stays true |
| No longer interested | You | You have dropped the job | Consider withdrawing if you applied on Indeed |
Employer-set statuses usually appear only for jobs posted directly on Indeed, and Indeed-set statuses only in the mobile app. So Applied with nothing after it often means the employer never updates statuses, not that you were ignored.
The follow-up timeline Indeed suggests
- Weeks 1 to 2: wait, and check your spam or junk folder.
- Weeks 2 to 3: if the employer allows follow-up messages, send a short, professional note restating your interest.
- Weeks 3 to 4: with no reply, keep applying elsewhere. Indeed adds that silence does not mean you did something wrong.
Withdrawing an application
Open the three-dot menu next to the status and choose Withdraw application. It works only for applications made directly on Indeed. You may not be able to apply to the same job again, the employer may still contact you, and a withdrawn application cannot be reopened. The short survey about why you withdrew is optional and is not shared with the employer.
Visibility: findable, hidden, or hidden by Indeed
New accounts start as Employers can't find you. In that state employers cannot contact you unless you applied to their job, cannot see your job search activity, and cannot open your contact details, resume file or work history. Switching to Employers can find you lets them recommend jobs, read parts of your profile and message you; uploading a resume for an application does not by itself make it public.
Two points to remember. Employers who received your resume before you changed the setting may keep its details. And if you cannot switch to Employers can find you at all, Indeed may have hidden your resume for not meeting its resume guidelines or terms; its help page describes an appeal with an ID that it says it reviews within 24 hours.

Limits of tracking an application on Indeed
- Applications made on an employer's own site are invisible to My jobs and get no Indeed confirmation email.
- Applications older than six months drop out of My jobs; Indeed points to its Personal Data Request Form for older ones.
- An application linked to a different Indeed account or email address will not show in your list.
- You cannot edit a submitted application. If you sent the wrong resume, contact the company directly.
- Whether an employer viewed your application is, in Indeed's own word, a maybe: it depends on the employer updating statuses.
Next steps
Because the employer sees Indeed's scan next to your file, a resume that scans cleanly saves you corrections on every application. Keep it single column with standard headings, check it in our free ATS checker, and tailor one version per kind of job. If you keep a LinkedIn profile, Indeed's own upload page notes you can upload its English Save to PDF export; our LinkedIn Easy Apply guide covers the other route.
CitedCV writes a resume from facts you confirm and exports PDF, DOCX or plain text; each PDF and DOCX export is read back by a text extractor and measured, which is a useful check before a site scans the file again.
Questions people ask
Can employers see my resume on Indeed if I don't apply?
Only if your profile is set to Employers can find you. New accounts start as Employers can't find you, which keeps the resume file from searching employers.
Which resume does the employer see on Indeed?
The one you applied with. For employers searching profiles, if you have both an Indeed Resume and an uploaded file, they see only the Indeed Resume.
Can I edit my resume after uploading it to Indeed?
No. An uploaded file cannot be edited on Indeed; upload a new one, which replaces the old file. Only a resume built on Indeed is editable.
What does "application viewed" mean on Indeed?
It means the employer reviewed your application. It is set by the employer and usually appears only for jobs posted directly on Indeed.
What does "response seems unlikely" mean on Indeed?
Indeed does not expect a reply: the employer has hired enough people, or there has been no activity on your application for at least two weeks.
Can I withdraw an application on Indeed?
Yes, if you applied directly on Indeed: open the three-dot menu by the status and choose Withdraw application. It cannot be reopened afterwards.
Why did Indeed reject me right after applying?
Likely a deal-breaker question. Answers that fail a required question move the application automatically to the employer's Rejected tab, though employers can move it back.
Why is my application missing from My jobs on Indeed?
Usually because you applied on the employer's own site, used another Indeed account or email, or applied more than six months ago.
