Why is my resume not parsing in an ATS?

An unsuccessful resume parse means the ATS could not fill its fields from your file. Greenhouse cites files over 2.5 MB, images, columns, tables and headers. The resume stays attached; a recruiter types the fields in. Not a rejection.1

Check your CV for ATS problems, no account needed

Drop a PDF, DOCX or text file, or paste the text. You get a score, the problems a parser trips on, and your CV as a parser files it.

Runs in your browser. The file and its text never leave this device.

What 'unsuccessful resume parse' means

Unsuccessful resume parse is what Greenhouse Recruiting shows when it cannot automatically import a resume's information into the candidate's fields. Greenhouse's help page says the resume has then only been attached to the candidate, and the recruiter enters the details by hand. Lever describes the same outcome: when parsing does not work, the information is typed into the profile fields.

ATS means applicant tracking system, the software an employer uses to receive applications, such as Greenhouse, Lever, Workday or SAP SuccessFactors. Résumé (US) and CV (UK, Europe, Turkey) mean the same file here.

What the recruiter sees and does

The employer still has your file. What is missing is the structured copy: name, email, phone, employers, titles and dates in their own fields. Neither Greenhouse nor Lever describes a failed parse as a rejection. One caution, as reasoning rather than a measured figure: a search runs over fields, so a profile with empty fields is harder to find until someone completes it.

What you see as a candidate

The sign is an application form or profile that fills in badly. Greenhouse's FAQ for MyGreenhouse candidates says that if your resume parsed incorrectly, review and edit the information before you save the profile or submit. On Workday, the sign is an autofill that leaves fields empty or puts text in the wrong field.

What to do in the first minute

Two options, both free. Run the two-minute test further down on the exact file you uploaded; it needs no tool and no account. Or use CitedCV's free CV checker at the top of this page: it runs in your browser, with no account, card or credits. Drop in a PDF, DOCX or TXT of up to 5 MB, or paste the text; the findings and the parser view appear underneath. The signed-in audit adds saving rewrites of flagged lines to your facts.

Why a resume does not parse: the documented causes

Every cause below is on a vendor's own help page, listed under Sources. The check column uses the two-minute test described further down.

Two entries on the list to read carefully

Greenhouse also lists obviously fake data: a name like 'First Last' or an employer like 'Company 1' may fail or parse only partly, which matters if you upload a template before filling it in. And it lists company names lacking 'Inc., Co., LTD, or LLC' and incomplete job titles. Greenhouse lists these; it does not say every employer needs a suffix. Write each employer's name the way the company writes it, and your full job title.

Why Workday is not parsing your resume correctly

Workday's own documentation says parsing results can vary based on resume format and order of words, and recommends resumes without images or image-based styles. So the two things to check are layout and order.

Empty Skills and Languages are expected

Workday does not auto-fill Languages or Skills, and it does not fill fields an employer has configured as hidden. If those sections are empty after autofill, your file is not at fault: type them in on the form, using the same skill names your resume uses.

When other fields come out wrong

Correct them on the form before you submit. Before the next application, run the two-minute test below on the file: it shows whether contact details come first and whether each job keeps its employer, title and dates together.

What Lever and SAP SuccessFactors say

Lever

Lever parses Microsoft Word (including .docx), PDF, RTF, Corel WordPerfect, HTML, MS Office HTML and Open Office (ODF) files, but not image files such as JPG or PNG. Its test: try highlighting the text with your cursor; if you cannot, the document is likely not parseable. Parsing can also fail when a recruiter imports the resume from an email, the Chrome extension or the API; the fields are then typed by hand. A regional location such as 'New York Metropolitan Area' is matched to the closest structured location and can be attributed wrongly, so check that field.

SAP SuccessFactors

SuccessFactors parses resumes with third-party software, Textkernel, and shows an acceptance message when a resume has parsed. Its help page names DOCX, PPT and TXT among the upload formats for parsing, plus TIFF, JPG, BMP and GIF images. Textkernel lists Turkish, German, French, Spanish, Dutch and all variants of English among its CV parsing languages, though support varies by data-centre region. So at SuccessFactors a CV in Turkish is within the languages its parser lists.

A two-minute test with no tool

  1. Open the exact file you uploaded and try to highlight a line. If nothing highlights, the page is a picture, which Lever says cannot be parsed.
  2. Check the file size. Greenhouse cannot parse files larger than 2.5 MB.
  3. Select all, copy, and paste into a plain text editor, such as Notepad or TextEdit in plain text mode.
  4. Read from the top. Your name, email and phone should come first; if they are missing, they were in a header, footer or text box.
  5. Check that the sections come in order, each heading on its own line, with no sidebar text mixed into a job.
  6. Check each job: employer, title and dates should sit together. Spaced-out letters, boxes or odd symbols point to letter spacing or unrecognised characters.

It gives no score, but it shows roughly the plain text a parser starts from, in the order it gets it.

How to check your resume's parse rate

None of the Greenhouse, Lever, Workday or SAP pages cited here offers candidates a parse checker or a parse-rate figure. A 'parse rate' from an outside tool is that tool's own estimate, from its own parser, not the employer's.

What CitedCV's free checker looks at

CitedCV's ATS CV checker page describes the checker in full. For a parse problem, these parts matter:

  • Parser view: your resume with formatting stripped and each line filed under a section such as Header, Summary, Experience or Skills. It is CitedCV's own sectioning, not Greenhouse's or Workday's.
  • PDF layout: more than one column, pages that are a picture with no text layer, and skill bars drawn as shapes.
  • Word layout: more than one column, text boxes, over half of the text in tables, and over 20 characters in the header or footer.
  • Contact, headings and dates: a missing email, no headings or no recognisable dates are errors; a missing phone is a note.
  • Length: under 60 words reads as a file that did not read cleanly.

What the checker cannot see

  • It does not run any employer's parser, so it cannot reproduce a Greenhouse or Workday result.
  • It does not check file size against Greenhouse's 2.5 MB limit; it accepts files up to 5 MB.
  • It does not check fonts, letter spacing, photos or logos.
  • A scan or a password-protected PDF is refused with a reason, not read. TXT and pasted text carry no layout signals.
  • Layout findings are reported but do not change the score.

Fix it in this order, smallest change first

  1. Re-save as a PDF with selectable text, under 2.5 MB. Greenhouse's candidate FAQ recommends uploading a PDF and, if an upload fails, to re-save it as a PDF and reduce its size.
  2. Move your name, email and phone out of the header, footer or text box into the first lines of the body.
  3. Change to one column, so sidebar text cannot interleave with your jobs.
  4. Turn tables into plain lines and give every heading the same style, with plain names such as Experience, Education and Skills.
  5. Remove graphics, word art and skill bars; write skill levels as words.
  6. Upload again and check each autofilled field before you submit. On Workday, type Skills and Languages in yourself.

When to rebuild instead

If the design itself is the columns, boxes and graphics, editing it costs more than starting again from the content. CitedCV's page on building a CV from a PDF describes the import. Every CitedCV template is single column, with standard headings, no tables and no header or footer content. Exports to PDF, DOCX and TXT are free. Each PDF and DOCX export is read back by a text extractor and compared with the CV it should carry, and the result is recorded. A quick draft costs 6 credits and a full build 10.

When to fill the form by hand

If the deadline is close or the form has few fields, type them in. A recruiter would type them after a failed parse anyway, and Greenhouse's candidate FAQ tells you to review and edit parsed information before submitting. For forms that take pasted text, the CitedCV review page offers your CV as plain text in the reading order a parser gets.

Who this page is not for

  • Your resume parsed and you want to know why you were not shortlisted. Parsing is not ranking: Greenhouse's Talent Matching, for example, scores candidates against the recruiter's own criteria, and Greenhouse says it does not automatically advance or reject anyone.
  • You need to know exactly how one employer's system reads your file. Outside tools, CitedCV's checker included, only approximate it; ask the employer's recruiter.
  • Your only copy is a scan or a photo. The checker refuses it; recreate the text first, through Lever's suggested route of Adobe Acrobat or Google Drive, or by typing it.

Questions people ask

What does unsuccessful resume parse mean?

It means Greenhouse could not automatically import your resume's information into the candidate fields. The file stays attached to your profile and a recruiter enters the details by hand.

Why is my resume not parsing?

Because of layout, size or file type, according to the vendors. Greenhouse lists files over 2.5 MB, images, columns, tables, headers and footers, contact details in a header or text box, and inconsistent section formatting.

Why is Workday not parsing my resume correctly?

Workday says results vary with resume format and word order, and recommends resumes without images or image-based styles. It does not auto-fill Skills or Languages, so type those in yourself.

Is my application rejected if the resume does not parse?

No, not according to Greenhouse or Lever. The resume stays attached and a recruiter types the fields in; until then, a profile with empty fields is harder to find in a search.

How do I check my resume's parse rate?

Approximately, and only with an outside tool: no vendor page cited here offers candidates a parse-rate check. Run the two-minute paste test, or CitedCV's free checker for a parser view and layout findings.

Does a PDF or Word file parse better?

PDF, for Greenhouse: its candidate FAQ recommends uploading a PDF. Lever parses both Word and PDF. Selectable text, one column and contact details in the body matter in either; send the format the employer asks for.

Will a photo stop my CV parsing?

It can. Greenhouse lists photos and graphics among the causes of a failed parse, and Workday recommends resumes without images. Whether to include a photo depends on the country; see the page on CV photos.

Is CitedCV's CV checker really free?

Yes: it costs 0 credits and needs no account or card. It reads PDF, DOCX or TXT files up to 5 MB, or pasted text. Signing in adds saving rewrites to your facts.
