Applying through Greenhouse: your resume from upload to review
On a Greenhouse job post you upload a resume, Greenhouse parses it into fields, and a recruiter opens it in the Application Review stage. No account is needed; MyGreenhouse only autofills the form. Stay under 2.5 MB.1

Check your CV for ATS problems, no account needed
Drop a PDF, DOCX or text file, or paste the text. You get a score, the problems a parser trips on, and your CV as a parser files it.
Runs in your browser. The file and its text never leave this device.
First, decide how you will fill the form
A Greenhouse job post gives you a single application form for that employer. You can complete it directly, or use Quick Apply, which fills it from a MyGreenhouse profile. Greenhouse's page on its candidate portal says creating an account is optional and you can apply without one.
| Straight on the job post | Quick Apply with MyGreenhouse | |
|---|---|---|
| Account | None | A free MyGreenhouse account, signed in with a one-time code sent by email; no password |
| Where it works | Any Greenhouse job post | Greenhouse-hosted job posts where the employer switched on the 'Autofill with Greenhouse' button |
| What fills the form | You, plus whatever the employer parses from your file | Your saved profile: contact details, education, employment, links and one resume |
| Editing before submit | Every field is yours to type | You can edit any autofilled answer before submitting |
| Tracking afterwards | Emails from the employer | Application status in MyGreenhouse, but only what the employer chooses to share |
Which route suits you
One application: fill it directly. Several applications to companies on Greenhouse in the same month: the profile saves retyping, provided you keep it accurate, because Greenhouse says profile updates only affect future applications.
What happens to your file, step by step
The table follows one resume from the moment you attach it to the moment a person looks at it. Each step is taken from a Greenhouse support article listed under Sources.
| Step | What Greenhouse does | What it means for you |
|---|---|---|
| 1. Upload | Accepts .doc, .docx, .pdf, .rtf and .txt, up to 100 MB | An image file (JPG, PNG) is not on the list |
| 2. Parse | Reads the file into the candidate fields; a file over 2.5 MB cannot be parsed | A big file is accepted but arrives as an attachment only, with empty fields |
| 3. Profile | Stores your name, contacts and history in fields a recruiter searches and filters | A wrong field stays wrong until someone edits it |
| 4. Application Review | The first stage in every job; the recruiter sees your documents, your answers to the custom questions, source and links | Your answers sit next to your resume; they should agree |
| 5. Preview | Converts the resume to a PDF for viewing in the app, without loading externally linked images | A logo or photo pulled in from a web link will not show |
| 6. Talent Matching, if used | Puts the application in a match group against the recruiter's criteria, or in 'Needs manual review' | An unreadable resume, or your opt-out, means a person reviews it without a score |
| 7. Decision | Recruiter advances, rejects or leaves feedback | Greenhouse says Talent Matching does not advance or reject anyone automatically |
Accepted is not the same as parsed
Greenhouse lets candidates upload files of up to 100 MB, yet its own parsing article says Greenhouse Recruiting cannot parse resumes larger than 2.5 MB. Between those two numbers the upload succeeds and the parse silently does not. That is why the 2.5 MB figure, not the 100 MB one, is the limit to work to. The candidate FAQ adds its own advice: upload a PDF, and if an upload fails, re-save as PDF and make it smaller.
The preview a reviewer opens
Reviewers in the Application Review stage can view uploaded documents in Greenhouse or download them. Greenhouse converts a resume to PDF for that preview and states that externally linked images are not loaded; images embedded in the file itself are unaffected. So a DOCX you upload is seen as a converted PDF, and anything your layout fetches from the web is missing from it.
MyGreenhouse: one profile for many employers
MyGreenhouse is Greenhouse's candidate portal. It gathers jobs from companies that use Greenhouse Recruiting, keeps a reusable profile and shows your applications to Greenhouse-hosted jobs. It is available to external candidates, in English, at no cost.
- It keeps one resume only. The most recent upload is used by default and you can replace it at any time; a resume sent with an earlier application may not be viewable there.
- A complete Quick Apply profile has your email, phone, location, resume, education, employment history and at least one link, such as LinkedIn, a portfolio, GitHub or a personal site.
- Changes to your name or phone apply to future applications only; to correct what a company already has, contact that company.
- Applications sent through LinkedIn, Indeed or other third-party sites may not appear in it.
- Deleting the account removes your MyGreenhouse profile data, not what employers already received with your applications.
Parsing mistakes start here too
When you build the profile from an uploaded resume, Greenhouse's FAQ tells you to review and correct the information before saving it, because parsing can get things wrong. A mistake saved into the profile would otherwise be copied into every application you autofill.
Checks before you press Submit
- File: PDF with selectable text, under 2.5 MB, no photo of the page. For the reasons a file does not parse, see the guide on resumes that do not parse.
- Email: the address you will read for the next months; Greenhouse can match repeat applicants by it.
- Autofilled answers: read each one; edit anything the profile or the parser got wrong.
- Custom questions: answer them from the posting; a reviewer reads them beside your resume.
- Links: open each one in a new tab before submitting.
- AI review: if the employer uses Talent Matching and offers an opt-out, the choice sits at the bottom of the form. The page on opting out of AI resume screening covers whether to use it.
If you only have a minute
Check the file size and open the attached file once from the form. Those two catch a failed parse and a wrong version, the mistakes that are hardest to undo after submitting.
Applying twice to the same Greenhouse job
Sending a second application with a corrected resume does not necessarily replace the first. Greenhouse's auto-merge setting, which an employer's site admin turns on, merges a new applicant into an existing profile with the same email address. When both applications are for the same job, Greenhouse keeps the candidate-specific information from the older one, and the candidate is then managed as if they had never applied a second time.
What to do instead
If you spot a mistake after submitting, email the recruiter or the address in the confirmation email and attach the corrected file. Greenhouse also flags possible duplicates by name, email, phone or LinkedIn link, depending on how the employer set it up, so a second application under another email can look like an error rather than a fix.
Sources and the dates on them
All Greenhouse statements on this page come from Greenhouse Support articles read on 13 October 2026. The date is the "last updated" date on each article.

What this page cannot tell you
- Which settings one employer uses: Quick Apply, auto-merge, Talent Matching and the opt-out are each the employer's choice.
- How a company with its own careers page passes your file to Greenhouse; this page follows the Greenhouse-hosted job post.
- Your status. MyGreenhouse shows only what the employer shares, and Greenhouse states that it cannot make hiring decisions or contact recruiters for you.
- What Greenhouse's parser will make of your exact file. CitedCV's free checker shows our own parser view, not Greenhouse's.

Questions people ask
Do I need a MyGreenhouse account to apply?
No. Greenhouse's candidate portal page says account creation is optional and candidates can still apply without one. The account only adds Quick Apply and application tracking.
What is Autofill with Greenhouse?
It is the Quick Apply button some employers turn on for Greenhouse-hosted job posts. It fills the form from your MyGreenhouse profile, and you can edit every autofilled answer before submitting.
What file types does Greenhouse accept for a resume?
Greenhouse accepts .doc, .docx, .pdf, .rtf and .txt files up to 100 MB. It cannot parse resumes over 2.5 MB, so stay under that, and its candidate FAQ recommends a PDF.
Why did my Greenhouse application fill in wrong?
Because parsing makes mistakes, which Greenhouse's candidate FAQ acknowledges; it asks you to review and edit the information before saving or submitting. Layout, size and file type are the usual causes.
Can I update my resume after applying on Greenhouse?
Not through the original application. MyGreenhouse profile changes apply to future applications only; email the recruiter with the corrected file instead.
What happens if I apply twice to the same job on Greenhouse?
With auto-merge on, the two applications are merged by email and the older application's candidate information is kept, as if you had applied once. A second application is no way to send a correction.
Does Greenhouse use AI to screen my application?
Only if the employer uses Talent Matching, which scores applications against the recruiter's criteria. Greenhouse says it does not advance or reject anyone automatically, and employers can offer an opt-out.
How do I delete my MyGreenhouse account?
From your account profile, choose Delete account. That permanently deletes your MyGreenhouse profile data but not the applications employers already received; ask each company for those.
