How to apply through iCIMS with your resume
Create a login on that employer's iCIMS career portal, upload your resume before typing anything so it can fill your profile, correct each parsed field, then answer the screening, EEO and job questions and submit.1

Before you click Apply: one profile, one email, one employer
iCIMS is the applicant tracking system behind many employers' career portals. Its job seeker FAQ is blunt about access: you can usually browse jobs without logging in, but a login is always required to apply, and you cannot apply as a guest. The login belongs to that company's career site. If you applied to the same company before, iCIMS tells you to log in to the existing profile rather than start a new one.
Pick the email address first
The FAQ says a profile can be tied to only one email address and that the system does not allow two profiles with the same address. It asks job seekers not to create extra profiles with different addresses. iCIMS's candidate guide adds a warning that is easy to miss: email addresses with accented characters, such as josé@email.com, are not supported.
- Use the address you will still read in six months; interview invitations come to it.
- If you may have applied to this company years ago, try each old address on the Enter Your Email page first. The portal either sends you to the Login page or says the email is already attached to a profile.
- Keep the address free of accented letters.
- Write down which address you used for which employer, because each company keeps its own profile.
How you know the portal runs on iCIMS
The button labels in iCIMS's candidate guide are a good tell: 'Apply for This Job Online', 'Log Back In!' in the upper right, 'Finish Later' inside the form and a 'Dashboard' link once you are signed in. The guide notes that each company can rename buttons and change steps, so treat the labels as a hint, not proof.
The iCIMS application, screen by screen
The order below comes from iCIMS's candidate guide. Each employer configures its own portal, so a step may be missing or renamed.
- Open the job title on the career portal and choose 'Apply for This Job Online'.
- Enter your email. The system checks whether you are new or returning and sends you to the right next step.
- New applicants enter a name and email and create a login and password, or sign in with a social account (Facebook, Google, LinkedIn or Microsoft, where the company offers them).
- Upload your resume from your computer or phone, Google Drive, Dropbox or OneDrive, where those options are shown.
- Review what was parsed into the Candidate Profile page, fill the required fields marked with an asterisk, and click 'Update Profile'.
- Answer the screening questions, the EEO information and any job-specific questions.
- Submit. A confirmation page says the application went through; some portals offer job alerts on that page.
Upload before you type
iCIMS says the system may populate some profile fields from your resume and recommends uploading it before completing other fields, to take full advantage of the parsing. Typed fields first and an upload second means checking twice. A social sign-in only brings over limited data such as first name, last name and email, so it does not replace the resume. Greenhouse gives its candidates the same instruction in its own FAQ: review and edit parsed information before you save or submit.
Starting without a resume
You can usually begin without one, the guide says, but you may be required to submit it before the application is complete. A Skip button exists on the profile step, and iCIMS still recommends providing a resume when you can.
Leaving halfway
At certain steps 'Finish Later' saves your place. To come back, log in, open the Dashboard and use 'Continue Application' next to the unfinished job. Nothing reaches the employer until the last step: the guide calls that the point where you are officially submitting.
Your iCIMS check sheet
Print this or keep it open beside the form. The middle column is what iCIMS documents; the right column is what you check before moving on.
| Screen | What iCIMS documents | Check before you continue |
|---|---|---|
| Enter Your Email | Identifies new or returning applicants; one profile per email | Is this the address you used for this company before? |
| Create login | Name, email, login and password, or a social account | No accented letters in the email; password saved somewhere safe |
| Resume upload | From device, Google Drive, Dropbox or OneDrive; may fill profile fields | Upload the final file, not a draft with placeholder names |
| Candidate Profile | Parsed fields can be reviewed and changed | Name, email, phone, address, each employer, title and date against your resume |
| Screening questions | Answered on later pages | Answers match the resume (dates, licences, work authorisation) |
| EEO information | Collected on a later page | Read each question's wording; required fields carry an asterisk |
| Job-specific questions | Set by the employer | Paste longer answers from a draft you kept |
| Confirmation | Page says the application was submitted | Screenshot it; note the date and job ID |
Example: a log for several iCIMS employers
An example, with invented employers and dates. Because every company keeps a separate iCIMS profile, a small log saves the "which email did I use?" problem when a recruiter calls months later.
| Employer portal | Email used | Sign-in | Resume file | Applied | Dashboard status |
|---|---|---|---|---|---|
| Northfield Health | j.okafor.work@… | Password | Okafor_Resume_RN_2026-10.pdf | 2026-10-02, job ID 4418 | Under review |
| Brightline Logistics | j.okafor.work@… | Okafor_Resume_Ops_2026-10.pdf | 2026-10-06, job ID 0921 | Submitted | |
| Calder County | jo.okafor@… (older profile from 2023) | Password reset | Okafor_Resume_RN_2026-10.pdf | 2026-10-09, job ID 77 | Incomplete: Continue Application |
Status labels can differ between portals, since iCIMS says each company sets up its own. Copy the label exactly as you see it.
What iCIMS's own pages say, and when we read them
Read on 13 October 2026: the iCIMS Job Seeker Help FAQ and the iCIMS Candidate Guide to Career Portals, both linked under Sources. Neither page shows a last-updated date.
Formatting advice in the FAQ
Asked about formatting best practices for resumes to be parsed successfully, iCIMS recommends putting your name and contact information in the body of the resume rather than the header or footer, and not putting important text in tables, text boxes or shapes, images, or annotations. Annotations are the one item other vendors rarely mention: comments or notes added to a PDF are not where a resume line belongs. For a test of your file and the fixes in order, use the resume parsing guide instead of repeating them here.
File types: not in the candidate pages
Neither iCIMS page read for this guide lists accepted file types or a size limit. Third-party blogs publish lists, but we found no iCIMS page confirming them, so this page names none. Use the format the posting asks for; the PDF or Word guide covers what the other vendors document.
Who iCIMS is to you
The FAQ describes iCIMS as a software provider to companies and says it is not authorised to update or delete job applicant data in its customers' databases; only the company can. Questions about an application, a status or a decision go to the employer.
After you submit: status, changes and email
Checking your status
Log in and open the job seeker dashboard. iCIMS says it lists every position you applied to with the status of each. For anything the label does not explain, contact the company.
Withdrawing an application
Some portals show a 'Withdraw' button in the Actions column, or the Past Job Submittals area, next to a completed application. It removes your name from consideration for that job. Where it is missing, ask the employer.
Replacing your resume
From the Dashboard choose 'Update Your Profile', then upload a resume or click 'Replace'. The iCIMS pages do not say whether a replaced resume changes applications you already submitted. If it matters for one job, tell the recruiter you have uploaded a newer version.
Emails that land in spam
- Each company sends from its own address, so a filter set up for one iCIMS employer does not cover the next. Mark each sender as not spam.
- Leave 'Unsubscribe from Mass Email Communications' alone. iCIMS warns it can stop interview notifications and other messages sent to several people at once.
- Text messages: replying 'stop', 'opt out', 'delete me' or 'do not contact' unsubscribes you from that thread; 'start', 'join' or 'resubscribe' turns it back on.
- A password reset email that does not arrive is usually in spam, per the FAQ.
Where this guide and iCIMS help stop
- Every company configures its own portal. Steps, labels and which statuses you see can differ from the iCIMS guide.
- The candidate pages do not describe how an employer ranks or screens applications inside iCIMS, so this page makes no claim about it.
- Data requests, such as deleting your profile, go to the employer. If you applied to work at iCIMS itself, its Talent Acquisition Privacy Notice explains how to ask.
- Video interviews and language assessments run through separate iCIMS steps with their own rules; the FAQ covers them in its own section.
Next steps before the next upload
- Run the two-minute paste test from the resume parsing guide on the exact file you will upload.
- Check the format against what the posting asks for, using the PDF or Word guide.
- If you want findings on the file without an account, CitedCV's free CV checker runs in your browser on a PDF, DOCX or TXT up to 5 MB. It applies CitedCV's own rules, not the iCIMS parser.
- Keep a plain-text copy of your resume for long free-text questions, so you paste rather than retype.
Questions people ask
Do I need an account to apply on iCIMS?
Yes. iCIMS's job seeker FAQ says a login is always required to apply and you cannot apply as a guest. The account is for that employer's career portal; another company's portal needs its own.
Why does iCIMS say my email is already attached to a profile?
Because that address already has a profile on this company's portal, perhaps from an earlier application. Log in or reset the password instead of creating a second profile; iCIMS allows one profile per email.
Can I apply on iCIMS without a resume?
You can usually start without one, according to iCIMS, but the employer may require a resume before you can finish. Uploading it early also lets the portal fill some profile fields for you.
Why did iCIMS fill my profile with the wrong details?
The parser read your file differently from how you laid it out. Correct each field on the Candidate Profile page, then check the file itself: iCIMS advises contact details in the body, not in headers, tables or text boxes.
How do I check my iCIMS application status?
Log in to that employer's career portal and open the job seeker dashboard. It lists each job you applied to with its status; the wording of each status is set by the employer.
How do I withdraw an iCIMS application?
Use the 'Withdraw' button in the dashboard's Actions column or Past Job Submittals area, where the employer offers it. If the button is not there, contact the company directly.
What file types does iCIMS accept for a resume?
iCIMS's candidate pages, read on 13 October 2026, do not list them. Send the format the posting names; a PDF with selectable text or a DOCX is what most vendors document.
How do I delete my data from an iCIMS career portal?
Ask the employer you applied to. iCIMS says it is not authorised to update or delete applicant data in its customers' systems, so only the company can act on the request.
