Applying through Personio: what happens to your CV

On a Personio career page you fill in the employer's form and upload a CV. If the employer opted in, Textkernel parses ten attributes, such as current title and employer, and an AI agent may check set criteria.1

Recognising a Personio form, and the first thing to do

Personio is HR software with a recruiting module. Its career page is a separate website listing the employer's jobs, on an address ending in jobs.personio.de or jobs.personio.com; an employer can also embed it in its own site. The form is the employer's choice: Personio lets it pick which candidate fields to ask for, mark some as required, and set the documents to upload, by default a CV and Other.

Send a PDF or DOCX with real text in it

Personio's help page on CV parsing says parsing works on PDF or DOCX, and lists a CV in another format, or an application sent as a PNG or JPEG image, among the reasons it fails. Its pages give 10 MB as the maximum per document. So the first thing to do is open your file, check you can highlight the text, and check it is a PDF or DOCX well under 10 MB.

What happens after you press Submit application

  1. Personio creates a candidate profile from your form answers. What you type in the form fields is the record, so type it carefully.
  2. If the employer opted in to CV parsing, which runs on software from the subcontractor Textkernel, your CV is parsed automatically on arrival, whatever channel it came through.
  3. The parsed attributes appear as columns in the employer's application list, where recruiters can filter by them, for example everyone whose current employer is the same company.
  4. If the employer bought and set up Personio's Talent Screening Agent, candidates in a Screening stage are checked against the job's AI signals and marked as match, partial match or no match.
  5. A person moves you on, or disqualifies the application with a rejection reason; a withdrawal is recorded the same way, with its own reasons.
  6. After the retention period stated in the employer's privacy statement, your data is deleted or anonymised.

The ten attributes the parser takes

  • First name and last name
  • Location
  • Phone number and email address
  • Gender
  • Current employer and current title
  • Years of experience
  • Public profile

That is the whole list in Personio's help article. Your skills, education and achievements are not parsed into fields; a person reads them in the CV itself, or the screening agent reads them if the employer uses it.

What Personio says makes parsing fail

Personio's list is longer than most vendors' and has two entries you rarely see elsewhere: a CV built on a ready-made template, its example being one from Microsoft Word, and text at 8 pt or smaller. The rest: a scanned file instead of an original PDF; name or email inside an image; details in the header or footer; tables or several columns; expanded letter spacing or small caps; logos instead of text; skills drawn as bar charts. Personio adds that its parser converts the file to plain text first, which is why these get in the way.

A CV header written for the ten attributes

An example for an invented applicant, Elif Arslan, applying for a payroll role in Berlin. Each line is placed so that one of Personio's parsed attributes has an obvious source.

Line on the CV (example)Attribute it feedsWhy it is written this way
Elif ArslanFirst name, last nameName alone on the first line of the body, not in the header
Berlin, GermanyLocationCity and country as words; add the place you will work from if you are relocating
+49 151 2345 6789Phone numberCountry code included, plain text, no phone icon
elif.arslan@example.comEmail addressThe same address you typed into the form
linkedin.com/in/elif-arslan-examplePublic profileWritten out in full so it survives conversion to plain text
Senior Payroll Specialist, Nordwerk Logistik GmbH, 03/2022 to presentCurrent title, current employerCurrent job first, title and employer on one line, the company named as it names itself
Payroll Specialist, Havel Retail GmbH, 09/2018 to 02/2022Years of experienceEvery job has a start and end month; Personio does not say how it counts, so give it consistent dates

What to leave off

Personio explains that gender may be drawn from a name affix such as 'Mr.', a national identity number or the given name. If you would rather not have it inferred, leave titles and ID numbers off the CV. A photo and date of birth are a separate, country-level choice, covered on the German CV photo page.

If the employer uses Personio's Talent Screening Agent

Personio's help article, updated on 12 October 2026, describes the agent as an advisory tool: it checks applications against criteria the employer sets, called AI signals, and a recruiter keeps every decision and can change a verdict by hand. It reads a CV attached as PDF, an image or Word, and warns that very long files or low-quality scans can cause incomplete text extraction. It is a paid, optional feature, so an employer using Personio may not have it.

AI signalWhat the employer setsWrite it on your CV as
LocationPreferred candidate locationCity and country, plus a plain line such as 'Relocating to Berlin, available from 1 March 2027' if true
LanguageRequired languages and levels'German: B2 (Goethe-Zertifikat B2, 2025)' rather than 'good German'
Years of experienceA minimum number of yearsStart and end month on every role, so the span can be read
EducationField of study and degree level'MSc Industrial Engineering, Middle East Technical University, 2019'
CustomOne specific requirementName the tool, licence or certificate in the line where you used it

Personio tells employers to avoid signals built on protected characteristics or proxies for them, such as a graduation year standing in for age, and to disclose AI use in the career page's privacy statement. Read that statement before you apply. The page on opting out of AI resume screening covers what asking for a human-only review changes.

Applying for two jobs at the same company

Personio links applications sent with the same email address. Recruiters see a list of every job you applied for, its date, your stage and any disqualification reason. And your attributes come from the most recent application: Personio's own example is a salary expectation of €50,000 on the first application that becomes €60,000 on both once the second one says €60,000. Keep form answers consistent, or change them knowing the earlier application changes too.

Which language the page shows you

The career page follows your browser language if the employer completed the page in that language. If not, it falls back to English, and if English is not set up either, to the company's preferred language. Each job is shown in the language the employer wrote it in, with translations where added. Write your CV in the language of the job text, not of the page around it. For a German-language job, the Lebenslauf conventions are on the German CV format page and the cover letter on the Anschreiben page; CitedCV can write a German CV with German conventions from the facts you give it, if you want a draft to start from.

Limits

  • Personio's help centre is written for employers. It tells you what the software can do, not which options a given employer switched on.
  • Whether an employer uses parsing or the screening agent is not visible on the form; its privacy statement is the place it is meant to say so.
  • An employer can connect its own career site to Personio instead of using the Personio page, so the form may look different from the one described here.

Next steps

Fix the layout once with the ATS-friendly CV checklist, settle the file type with the PDF or Word page, and if a Personio employer later asks why a field was empty, the resume-not-parsing page explains failed parses across vendors. Then fill the form, read the privacy statement, and submit.

Questions people ask

Does Personio parse CVs automatically?

Only if the employer opted in. Personio's CV parsing runs on Textkernel software, which an employer must enable as a subcontractor; once on, every incoming application with a CV is parsed.

Which file format should I upload to Personio?

PDF or DOCX. Personio's help page says parsing needs one of those two and fails on images such as PNG or JPEG and on scanned files. Keep it well under the 10 MB per-document limit.

What information does Personio take from my CV?

Ten attributes: first and last name, location, phone, email, gender, current employer, current title, years of experience and a public profile. Skills and education stay in the CV for a person to read.

Does Personio use AI to reject candidates?

No, by its own description. The Talent Screening Agent is advisory: it marks matches against criteria the employer sets, a recruiter can change any verdict, and people make the decisions. It is also an optional paid feature.

What happens if I apply for two jobs at the same company on Personio?

Both applications are linked by your email address, and your form answers from the latest one overwrite the earlier ones. Recruiters see every job you applied for, your stage and any rejection reason.

Why is the Personio career page in English when my browser is not?

Because the employer has not completed the page in your browser's language. Personio then falls back to English, and after that to the company's preferred language.

How long does a company keep my Personio application?

As long as its privacy statement says. Personio's template asks the employer to fill in a number of days after the process ends, after which the data is deleted or anonymised.

Why did Personio guess my gender?

Because its parser can infer gender from a name affix such as 'Mr.', a national identity number or the given name. Leave titles and ID numbers off the CV if you do not want that.
