Applying through Oracle Taleo: what happens to your resume

On an Oracle Taleo career section you sign in, apply as a guest or use LinkedIn, then upload a resume that fills the form. Oracle's default limit is 1 MB per file and 10 files per candidate.1

First, check your file against the attachment limits

Oracle Taleo Enterprise Edition calls an employer's job site a career section. Oracle's deep-linking guide gives the address pattern: the company's zone name, then taleo.net/careersection/, a section number and a lang= code for the language.

Before you upload anything, look at the file size. Oracle's attachment settings page gives the default for its Basic package as 1,048,576 bytes, that is 1 MB, per file and 10 attachments per record. The same settings apply across the whole suite, and an employer can raise them through an Oracle service request, so a given site may allow more. A resume made for other systems, with a photo, logos or embedded graphics, can pass 1 MB without looking large.

Getting a resume under 1 MB

  • Export the PDF from your word processor instead of printing to PDF or scanning; an exported file keeps selectable text and is usually smaller.
  • Remove photos, logos and decorative images. They add size and, on most systems, nothing a parser can read.
  • Check the size in your file manager's properties before uploading, not after an error.
  • Keep a DOCX copy too. Oracle lists Word (.doc and .docx), PDF, RTF, TXT, ODT, HTML and WordPerfect among the formats its system supports, and each employer chooses which ones it allows.

Worked example: the ten-file budget

Oracle counts candidate-facing attachments together across all your general profiles and job submissions with one employer. With the default of ten, a candidate who uploads a fresh resume and a fresh cover letter for each job runs out quickly:

What you uploadFiles usedRunning total
Resume on your general profile11
Job 1: cover letter12
Job 2: cover letter and a re-saved resume24
Job 3: cover letter, resume, a certificate37
Job 4: cover letter and resume29
Job 5: cover letter110, the default cap

Oracle's page does not say whether ticking a file already on your profile counts again for a new job. Uploading fewer new copies is the safe reading: keep one current resume on the profile and select it for each submission.

Four ways into a Taleo career section

Way inWhat you enterWhat Oracle's documentation says follows
User name and passwordA registration with your own credentialsFull access to your profile and submissions; Forgot User Name and Forgot Password if you lose them
Apply as GuestOnly your emailA new candidate is created and the flow starts; on the Thank You page you get a link to create credentials, otherwise an email with an access code
Apply with LinkedInYour LinkedIn sign-inSign-in and profile import in one step; to view or update a submission later you still need a Taleo user name and password
Import from IndeedYour Indeed sign-in, inside the upload stepName, city and country, summary, work experience, education and certifications are copied; Indeed does not pass on file attachments

Guest access is an employer setting with three values: with user name, with user name and as guest, or no new registrations. If your email already belongs to an account, Taleo recognises it and asks you to sign in.

Inside the Resume Upload step

Oracle's page on profile import says that when resume parsing is on, you can upload a resume, and the fields it fills carry into the rest of the flow. Three details matter to a candidate. Every field the import maps is filled, including fields the employer did not put in the form, and you cannot correct a field you never see. The upload step is always shown if your Education or Work Experience sections are empty. And if you stop halfway, the valid imported data is saved but the application stays flagged as incomplete.

Pasting instead of uploading

Some career sections offer 'Paste the resume'. Taleo parses the pasted text to pre-fill the application and saves it as a text file attached to your submission and profile, named like FirstName_LastName_RequisitionNumber_EN.txt, which recruiters open like any other attachment. Paste clean text: what you paste is what they read.

Marking which file is your resume

In the Attachments step you tick Relevant Files for the job and, if you attached files to your general profile before applying, a Resume column to mark which file is your resume. Files that came through the parsing upload are marked as resumes automatically. Oracle's default for recruiters' keyword search covers all candidate-visible attachments, so the words inside the file you attach are searchable; a picture-only file has none.

Taleo messages and statuses, decoded

Built from Oracle's administration and career section guides. The middle column is what the documentation says can produce the message; the employer's own configuration decides which applies.

What you seeWhat can cause itWhat to do
An email inviting you to create a user name and password, or an access codeYou applied as a guest or with LinkedIn and did not create credentialsCreate them; you need them to view or update your submissions
An email asking you to complete your submission on the standard career sectionYou applied on a mobile-optimised section and the employer set this acknowledgementOpen the link on a laptop; the standard flow is longer and has more fields
A Rejected status soon after the job closesThe employer can reject all submissions automatically when a requisition is filled or cancelledRead it as the job closing, not as a verdict on your resume
Disqualified straight after submittingAn answer to a mandatory disqualification question did not meet the minimumCheck the answer; it reflects the requirement, not your file
Your application shows as incompleteYou left the flow before the last page; imported data is keptSign in and finish the remaining pages
Fields already filled in another languageA new language profile copies from your most recently updated oneTranslate or replace the copied text before submitting
The upload is refusedThe file breaks the employer's size, format or attachment-count settingsCheck size and format; reuse a file already on your profile

One Taleo profile per language

Taleo keeps a separate candidate profile for each language you apply in. The first time you start a flow in a new language, it copies Education, Work Experience, Certifications, the plain text resume, the plain text cover letter and Additional Information from the language version you updated most recently. After that the versions are independent: editing one does not update the other, by design.

For someone who applies in two languages, say Turkish and English, this has one practical consequence. If you last updated the Turkish profile and then apply on the employer's English section, the English profile starts with Turkish text. Read every copied section and replace it before you submit. The lang= code in the career section's address shows which language you are in.

Questions that decide before anyone reads your resume

Oracle's Recruiting guide describes three things in a requisition's prescreening section. Disqualification questions are single-answer questions holding the minimum requirements, such as the right to work in a country; they are mandatory, and the answer decides whether you move forward or are disqualified automatically. Prescreening questions ask about goals, preferences or knowledge. Competencies record proficiency and years of experience. Oracle calls the combination ACE prescreening and flags the candidates who meet the most requirements and assets with an icon on the recruiter's list.

So the fastest automatic 'no' on Taleo comes from these answers. Answer them as precisely as your resume states the same facts, and keep the two consistent: a recruiter who opens your file sees both.

What Oracle's documentation says, read on 13 October 2026

  1. Default attachment size 1 MB and 10 files per record for the Basic package; changes go through a service request (Attachment Permissions and Settings, release 25B).
  2. Supported attachment formats include Word, PDF, RTF, TXT, ODT, HTML and WordPerfect, filtered by the employer (Attachment).
  3. Apply as Guest needs only an email; credentials can be created afterwards (Apply as Guest).
  4. Apply with LinkedIn creates new submissions only; viewing or updating needs a Taleo user name and password (Apply with LinkedIn).
  5. Mapped fields are filled even when not shown, and an abandoned flow keeps imported data but stays incomplete (Profile Import Options for Candidates).
  6. A new language profile copies six sections from the most recently updated one (Information Added Automatically to Other Language Versions).
  7. Submissions can be rejected automatically when a requisition is filled or cancelled, if the employer enables it (Automatically Rejecting Candidate Submissions).

Limits of this page

  • Oracle's public guides describe settings and flows, not how its parser handles a given layout. For layout causes in general, the resume-not-parsing page lists what other vendors document.
  • Each employer configures its own career section, so field names, steps and limits on your screen can differ from the defaults here.
  • This page covers Taleo Enterprise Edition only; other Oracle recruiting products have their own documentation and screens.

Where to go next

If a Taleo form keeps filling badly, fix the file rather than retyping it for every employer. The ATS-friendly CV page has the layout checklist, and the PDF or Word page covers the format question. CitedCV's free ATS checker shows a parser view of your file in the browser with no account, and a CitedCV export comes as PDF, DOCX or TXT, which helps when a career section asks you to paste text.

Questions people ask

What is the maximum file size for a Taleo resume upload?

One megabyte per file by Oracle's default for its Basic package, with up to 10 attachments per candidate. Employers can raise the limits through Oracle, so a site may accept more; staying under 1 MB avoids the question.

Does Taleo accept PDF resumes?

Yes, PDF is among the attachment formats Oracle lists, alongside Word, RTF, TXT, ODT, HTML and WordPerfect. Each employer filters which formats its career section allows, so follow the upload screen.

Can I apply on Taleo without creating an account?

Yes, where the employer enables Apply as Guest: you enter only your email. Taleo then offers a link or an emailed access code to create a user name and password, which you need to see your submissions later.

Why does Taleo make me type my work history again?

Because parsing is switched off on that site, or the import did not map those fields. Oracle says the upload option appears only when resume parsing is on, and the upload step returns whenever Education or Work Experience is empty.

Why did I get a Taleo rejection email after the job closed?

Probably because the employer set Taleo to reject all remaining submissions automatically when a requisition is filled or cancelled. Oracle documents this setting; it says nothing about your resume.

Can I withdraw a Taleo application?

Yes, from the My Submissions page of the career section. Oracle's settings let an employer ask for a reason when you withdraw, so a short line such as 'accepted another offer' is enough.

Can I import my LinkedIn or Indeed profile instead of a resume?

Yes, where the employer enabled it. Indeed import copies name, location, summary, experience, education and certifications but no file attachments, so attach your resume separately if the job needs it.

Why is my Taleo profile filled in the wrong language?

Because Taleo copies six sections from your most recently updated language profile the first time you apply in a new language. Replace the copied text before you submit; later edits do not sync between languages.
