What happens when you apply through SmartRecruiters
You apply on the employer's posting: upload your CV so SmartRecruiters can complete your profile, answer the employer's screening questions, accept its privacy notice, then follow the application in the SmartRecruiters candidate portal.1
Written 13 October 2026. CitedCV. How we write our guides
Start with whose form this is
SmartRecruiters sells recruiting software to employers; the job you apply for belongs to one of them. Its candidate privacy notice names the company you applied to as the 'Owner and Data Controller' and says SmartRecruiters processes candidates' data on that company's behalf. In practice: the employer writes the questions and makes the decisions, and SmartRecruiters runs the form and the portal.
SmartRecruiters is now part of SAP
SAP announced on 11 September 2025 that it had completed the acquisition of SmartRecruiters and would integrate it with the SAP SuccessFactors suite, while customers could keep using SmartRecruiters with other HR systems. So you may meet the same application flow under a SuccessFactors employer. SAP's knowledge base already has articles filed under "SmartRecruiters for SAP SuccessFactors".
Do this before you upload
- Read the posting's own instructions about files and languages; they outrank anything general, including this page.
- Have the CV you will send open next to the form, so you can compare what the profile fills in.
- Decide which email address you will use and keep it; the candidate portal login later is tied to an account, so use one you can sign in with.
The flow, from SmartRecruiters' own pages
Pieced together from three SmartRecruiters sources read on 13 October 2026: the page for job seekers, the candidate privacy notice and the developer documentation for its Application API, which describes what every application form must carry.
- Open the posting and start the application. The job seekers page says SmartRecruiters is used by more than 5,000 companies, so the same flow repeats across employers.
- Upload your CV or resume. The job seekers page says the system automatically completes your profile with your professional experience.
- Answer the screening questions. The developer documentation describes them as set per posting by the employer, including diversity questions, which the documentation tells form builders to place below all other questions.
- Read and accept the privacy notice. The documentation shows an acknowledgement in the form 'You declare that you have read and understand the privacy notice of [CompanyName]', and recommends an opt-in checkbox because of the GDPR.
- Submit, then use the candidate portal to follow the application.
What the candidate portal offers
With a SmartRecruiters account, the job seekers page lists four things: apply to jobs, see whether your profile was viewed, talk directly with the hiring team, and create a SmartProfile. Applicants can track the status of their applications there. Forgotten passwords are reset from a link on the same page.
Claims about SmartRecruiters, checked against its own pages
Search for SmartRecruiters resume advice and you find precise-sounding rules. We checked each one against SmartRecruiters' and SAP's own pages on 13 October 2026. 'Not found' means the vendor pages we could read do not say it; it does not mean the claim is false.
| Claim you will read online | In the vendor's own pages? | What to do with it |
|---|---|---|
| Uploading a CV fills your profile | Yes, on the page for job seekers | Compare every filled field with your CV before you submit |
| You can track your status | Yes, in the candidate portal | Log in with the email you applied with |
| You can message the hiring team | Yes, listed as an account feature | Use it for questions about this job, not general support |
| Accepted file types and a size limit | An SAP knowledge base article covers them, but its full text needs an SAP login | Follow the upload box and the posting; keep a PDF and a DOCX ready |
| The CV parser is a named third-party product | Not found in the pages read | Ignore it; it does not change what you upload |
| Two-column CVs fail a stated percentage of the time | Not found; no source given where it is quoted | Treat as lore. Use one column for other reasons |
| An AI ranks you before a person reads you | Partly: the privacy notice lists 'candidate ranking' among data that may be processed, depending on the employer's services, without saying how | Read the employer's notice; see the page on opting out of AI screening |
| You can delete your data | Yes: withdraw and delete your profile at each company you applied to | Ask the employer, or SmartRecruiters, which forwards requests |
Why the gaps matter
Where the vendor is silent, specific numbers from resume blogs are guesses, however exact they look. The safe course is the general one: a file with selectable text, one column and contact details in the body. That is covered once, properly, in the ATS-friendly CV guide; this page does not repeat it.
Compare the auto-filled profile with your CV
SmartRecruiters' own job seeker page promises an automatically completed profile; it does not promise a perfect one. Before you press submit, walk the profile against the file. The table is a worked example for an invented candidate whose CV had a two-line job title.
| Field | In the CV | Filled into the profile (example) | Fix |
|---|---|---|---|
| Name | Elif Sarı | Elif Sarı | None, but check letters such as ı, ş and ğ after every upload |
| elif.sari@example.com | elif.sari@example.com | None | |
| Current title | Senior Analyst, Pricing and Revenue | Senior Analyst | Complete the title as the employer wrote it |
| Current employer | Halden Foods Ltd | Halden Foods Ltd | None |
| Dates | Mar 2022 to present | Mar 2022 to (blank) | Tick 'current' or type the end |
| Education | MSc Economics, 2021 | Missing | Add by hand |
Example only. The rows show the kind of check to make, not documented SmartRecruiters behaviour.
Fix the field or the file?
Both, in that order. Correct the form now so this application is right. Then fix the file before your next one: if the title broke across two lines in the profile, it probably did in the parsed text too. The resume parsing guide has a two-minute paste test for that.
Consent, ranking and your data
The candidate privacy notice, marked 'Latest update, 01/03/2026', lists what may be processed: identity and contact data, your CV and professional situation, chatbot conversations, browsing data, and, depending on the employer's services, your candidate ranking and your answers to its screening questions.
- Correct your data through the 'My SmartProfile' section, the notice says.
- Delete it by withdrawing and deleting your profile at each company you applied to.
- Ask for a copy in a structured, machine-readable format, and complain to your local data protection authority if a request is not handled.
If you would rather a person screened you
The notice does not describe how a ranking is made or whether you can opt out of it. Some employers offer a manual review; the page on opting out of AI resume screening explains when asking for one makes sense.
Who to contact for what
| Problem | Contact | Source |
|---|---|---|
| Cannot log in or forgot the password | The reset link on the SmartRecruiters page for job seekers | Page for job seekers |
| A question after applying through SmartRecruiters | Candidate support at supportfeedback@smartrecruiters.com | Page for job seekers |
| Status, interview or decision | The hiring team, through the portal, or the employer | Page for job seekers; privacy notice |
| Deleting or correcting your data | The employer, or SmartRecruiters, which forwards the request | Privacy notice |
Limits of this page
- SmartRecruiters' customer help centre requires a customer login, and the SAP article on attachments is behind an SAP login. We did not read them, so file rules and parser details are left out.
- Each employer configures its own form, questions and consent wording.
- The flow above is assembled from public vendor pages; a given posting may add steps such as assessments.
Next steps
- Check the file with the two-minute paste test before uploading.
- Choose PDF or DOCX using the posting first and the PDF or Word guide second.
- For a rule-based check without an account, CitedCV's free CV checker reads a PDF, DOCX or TXT in your browser and shows a parser view of its own; it is not SmartRecruiters' parser.
- Keep a note of the company, the posting, the date and the email you used, for the portal login later.
Questions people ask
How do I apply for a job on SmartRecruiters?
Open the employer's posting, upload your CV, answer the screening questions, accept the privacy notice and submit. The employer configures the form, so the exact questions differ from job to job.
Does SmartRecruiters read my resume automatically?
Yes. SmartRecruiters' page for job seekers says uploading a CV automatically completes your profile with your professional experience. Check each filled field against the file before you submit.
How do I check my SmartRecruiters application status?
Log in to the SmartRecruiters candidate portal with the email you applied with. Its page for job seekers says you can track application status there and see whether your profile was viewed.
What file types does SmartRecruiters accept?
We could not confirm them: the SAP article that covers attachment types and size limits needs an SAP login. Follow the upload box and the posting's instructions, and keep both a PDF and a DOCX ready.
Does SmartRecruiters use AI to rank candidates?
Possibly, depending on the employer. Its candidate privacy notice lists 'candidate ranking' among data that may be processed, depending on the services an employer uses, but does not explain how a ranking is produced.
Who sees my SmartRecruiters application?
The employer's hiring team. The privacy notice names the company you applied to as the data controller, with SmartRecruiters processing the data on its behalf.
How do I delete my SmartRecruiters profile?
Withdraw and delete your profile at each company you applied to, as the privacy notice describes. You can also ask the employer or SmartRecruiters, which passes the request on.
Is SmartRecruiters part of SAP now?
Yes. SAP completed the acquisition on 11 September 2025 and said it would integrate SmartRecruiters with SAP SuccessFactors, while customers can keep using it with other HR systems.
